Kinatico is committed to being transparent about how we use artificial intelligence in the delivery of our services. This notice is issued ahead and in accordance with Australia’s updated privacy laws, which require organisations to disclose when Automated Decision-Making (ADM) — the use of computer programs to make or substantially assist with decisions that may significantly affect an individual’s rights or interests — is used in their processes. It explains what is changing, how it works, and the protections in place for you and the individuals whose compliance verifications you manage.

What's changing

We are introducing AI-assisted ADM processing, in Kinatico CVCheck and Kinatico Compliance. Our AI Verification agent has been designed, tested, and validated by our internal team as part of Kinatico’s broader responsible AI programme.

AI is used to assist in processing and presenting results — it does not make final decisions in isolation.

What's not changing

While we are evolving how we work, the things that matter most to you remain exactly as they were:

  • Your service standards. The accuracy, security, and reliability you expect from Kinatico are unchanged. AI is introduced only where it meets or exceeds the quality of our existing processes.
  • Your data protections. Your data and applicant data remains subject to the same privacy obligations, contractual commitments, and security controls. No new data sharing arrangements have been introduced as a result of AI adoption.
  • Your points of contact. Your relationship with Kinatico — including your account team and support channels — remains unchanged.
  • Your rights to dispute outcomes. The process for raising a concern or disputing a result is the same. You may request review of any result at any time.
  • Human accountability. A named person at Kinatico remains responsible for every outcome we deliver to you. That has not changed and will not change.

Understanding AI and Automated Design-Making

  • What is Automated Decision-Making (ADM), and does Kinatico use it?

    Automated Decision-Making (ADM) is when a computer program assists in making or substantially contributing to a decision that may affect an individual’s rights or interests — for example, the outcome of a background screening or compliance verification.

    Yes.  As stated in our Privacy Policy, Kinatico is always looking for innovative ways to improve our customers’ experience.  Part of that includes automating aspects of our processes in ways that leverage current best-practice technologies.

  • Why is Kinatico telling me about this now?

    Australia’s updated privacy laws now require organisations to disclose when ADM is used in processes that may significantly affect individuals. Kinatico is committed to transparency — this notice is issued ahead of, and in accordance with, those updated requirements.

    We believe you have the right to understand how technology is used in any process that involves you or your people, and to trust that it is governed responsibly.

How AI works in your verifications

  • Does AI make the final decision about a verification result?

    Our approach is: AI recommends. People decide. Always.

    Kinatico’s AI assists with processing and presenting verification results. Human oversight is maintained throughout. Edge cases, anomalies, and uncertain results are always referred to our operations team for manual review before any outcome is finalised.

  • Can I find out how a specific result was produced?

    Yes. Every decision is traceable. Our ADM processes are documented, auditable, and subject to regular review. You have the right to request information about how any result was produced at any time.

Your data and privacy

  • Is my data — or applicant data — used to train AI models?

    No. Kinatico’s AI does not use customer or applicant data to train external models. Our zero customer data in public AI commitment applies to all ADM processes.

    Your data and applicant data remain subject to the same privacy obligations, contractual commitments, and security controls as always. No new data sharing arrangements have been introduced as a result of AI adoption.

  • Has anything changed about how my data is protected?

    No. Your data protections are unchanged. Kinatico’s AI is designed with privacy at every step — it does not share data publicly and operates within the same security controls and contractual obligations that have always applied to your account.

Your rights and what stays the same

  • Can I dispute or request a review of a result?

    Yes.  All use of automated decision making within Kinatico is people-led and subject to appropriate oversight.  Frameworks and guardrails have been established to ensure that, whenever possible, anomalous and unexpected results will be referred for manual review before publication. 

    If you believe a mistake has been made, you have a right to contact us and ask us to review that result.  Please see our Privacy Policy and the section, ‘Access, updating and correcting your personal information”. 

    A named person at Kinatico remains responsible for every outcome we deliver to you. That has not changed and will not change.

  • Will my service standards — accuracy, security, reliability — be affected?

    No. The accuracy, security, and reliability you expect from Kinatico are unchanged. AI is introduced only where it meets or exceeds the quality of our existing processes — not for the sake of automation alone.

    We deploy AI where it genuinely improves accuracy, speed, and service quality for you and for applicants.

  • Will my account team or support contacts change?

    No. Your relationship with Kinatico — including your account team and support channels — remains exactly as it is. If you have questions about AI use in your account specifically, your account team is the right first point of contact. 

  • Where can I learn more or raise a concern?

    If you have questions about how AI is used in your specific account or a particular verification result, please contact your Kinatico account team directly or reach out via your usual support channel.
